Job Description

Sales & Order Coordination
-Manage all sales-related activities, ensuring orders are processed accurately and efficiently.
-Prepare quotations, sales orders, and delivery orders.
-Issue purchase orders (PO) to suppliers and follow up on production and delivery timelines.
-Update order details and job progress in internal trackers.
-Support the sales team to ensure all orders meet customer deadlines and requirements.

Payment & Delivery Monitoring
-Track and monitor customer payments for each order.
-Ensure full payment or deposit is received before arranging delivery, according to company policy.
-Follow up closely with the salesperson and customer on payment status.
-Schedule and coordinate delivery once payment is confirmed.
-Laise with warehouse and logistics to ensure timely and accurate delivery to customers.

Warehouse Coordination
-Assist in checking, sorting, and packing goods for delivery when required.
-Coordinate closely with the warehouse team to ensure the correct items are packed and shipped.
-Ensure all delivery documents are accurate and properly find.

Customer Service & Communication
-Handle customer enquiries professionally via phone, email, and written communication.
-Follow up on quotations, delivery dates, and after-sales matters.
-Resolve any order or delivery-related issues promptly and professionally.
-Maintain a high level of service to strengthen customer satisfaction and retention.

Reporting & Administration
-Maintain accurate and updated sales records, reports, and trackers.
-Prepare monthly sales summaries and KPI tracking for management review.
-Ensure all sales documents, POs, and delivery records are filed systematically and accessible.

General Duties
-To undertake any other job function as assigned by the superior and management.

Requirements
-Experience in sales coordination, customer service, or administrative support preferred.
-Basic knowledge of purchase order and delivery processes.
-Strong coordination, communication, and follow-up skills.
-Detail-oriented with strong time management and organizational skills.
-Basic computer proficiency (Excel, Outlook, PDF viewing).
-Able to multitask and perform under tight timelines.
