Job Description

Position Summary

This position supports the overall operations of our consulting engineering practice by managing administrative functions, HR coordination, financial and tax-related tasks, and day-to-day office management. The role ensures that the firm’s operational processes, project support activities, and statutory requirements are carried out efficiently to support the engineering team and management.

Key Responsibilities

A. Accounting Responsibilities

Maintain proper and accurate monthly accounting records in compliance with accounting standards,

Assist with month-end and year-end closing activities,

Monitor company expenses and claims,

Process payments, claims, invoices, receipts, and petty cash,

Liaise with auditors, tax agents and company secretary for year end audit matters,

Ensure internal control and adherence to accounting procedures.

Prepare supporting documents and schedules for corporate tax computation.

Assist with corporate tax filings (Form C), CP204/CP204A revisions, and related submissions.

Manage SST requirements where applicable, including record keeping and submissions.

Monitor tax deadlines, ensure timely submission of all tax-related documents and adherence to all statutory requirements.

Liaise with external tax agents, auditors, and authorities (e.g., LHDN, Customs)

Ensure compliance with relevant tax laws and regulations.

B. Administrative Responsibilities

Oversee smooth office operations & develop, implement, and improve operational processes and SOPs.

Manage and maintain office facilities, equipment, utilities, and maintenance services.

Manage correspondence, filing systems, document archiving and project documentation— follow-up with clients and other consultants.

Assist with company insurance renewals and maintain company records for licenses (e.g., MOF registration, MBPJ/Selangor business licence, engineering board documents and etc).

Handle procurement of office supplies and liaise with vendors and service providers.

Preparation of projects proposal (RFP and quotations), LOAs and Agreement Contracts.

3. Other Responsibilities

Maintain confidentiality of company, financial, and project information.

Support Directors with ad hoc operational, administrative, and project-related tasks.

Uphold all company policies, engineering ethics, and professional standards.

Contribute to a positive, organised and professional working environment.
