Operation Assistant Manager

Summary
Lead day-to-day operations for a commercial/residential HVAC company to ensure safe, efficient, profitable delivery of installation, maintenance, and repair services. Drive process improvements, workforce productivity, customer satisfaction, and compliance with safety and industry standards.

Key Responsibilities

-Oversee field operations: scheduling, dispatch, job assignments, parts/materials, and technician productivity.
-Manage service delivery across installation, preventive maintenance, and emergency repair work to meet quality and timeline targets.
-Develop and enforce standard operating procedures (SOPs), work orders, and quality-control checklists.
-Monitor KPIs (e.g., first-time fix rate, service response time, job margin, revenue per tech, on-time arrival).
-Hire, train, coach, and evaluate field and support staff; develop career paths and succession plans.
-Coordinate inventory, procurement, vendor relationships, and equipment maintenance to minimize downtime and cost.
-Partner with sales, estimating, and finance to manage project handoffs, bookings, billing accuracy, and cost control.
-Ensure compliance with HVAC codes, licensing, safety regulations (OSHA/NFPA as applicable), and company safety programs.
Implement continuous improvement initiatives: route optimization, labor utilization, digital tools (CMMS/CRM), and workflow automation.
-Prepare operational reports, budgets, forecasts, and performance reviews for senior management.
-Respond to escalated customer issues and ensure high levels of customer satisfaction and retention.

Qualifications

-5+ years operations experience in HVAC, mechanical contracting, or a related trade; 2+ years in a supervisory/managerial role preferred.
-Strong technical understanding of HVAC systems, service processes, and trade practices.
-Experience with field service management software, scheduling tools, and inventory/CMMS systems.
-Proven track record of improving operational efficiency, reducing costs, and raising service quality.
-Familiarity with safety and regulatory requirements for HVAC installations and service.
