Job Description

JOB DESCRIPTIONS:

Operations Administration
-Assist in applying project or job site entry permits for operations and fleet personnel to ensure timely mobilization.
-Ensure compliance with client and project site administrative requirements, including site rules and documentation.
-Support the Assistant Operations Manager in verifying petty cash claims and ensuring proper documentation.
-Maintain records of crane accessories and attachments, including inventory movement and damage records.
-Monitor and update operations staff deployment and attendance records, including daily site reports, timecards, leave records, and other related documentation.
-Compile and maintain required staff documents for site access, such as IC, CIDB, OGSP, JKKP, and medical reports.
-Perform periodic site visits to project / job sites to facilitate operational coordination.
-Coordinate staff work schedules, off-days, and public holidays based on operational and client requirements.
-Assist in Purchase Order (PO) creation and related administrative tasks.
-Coordinate with HR regarding staff movement, relocation, or resignation updates.

Facilities & Property Management
-Support the general maintenance and upkeep of office and workshop facilities to ensure a safe and conducive working environment.
-Coordinate with contractors and service providers for repair, maintenance, and facility services.
-Monitor the performance of cleaning and security service providers and verify related invoices before submission for payment.
-Liaise with relevant authorities to ensure licenses, permits, and fire safety certifications are renewed as required.

Motor Vehicle & Insurance Administration
-Assist in managing company vehicles, including maintenance, service schedules, and records.
-Ensure vehicles undergo Puspakom inspection, motor insurance and road tax are renewed on time.
-Monitor fuel card and Touch ‘n Go usage and report any irregularities.
-Assist in coordinating insurance renewals and claims for company assets and vehicles.

Others:
-Perform any other ad-hoc duties and responsibilities as assigned by the Management from time to time in accordance with operational and business needs.

JOB REQUIREMENTS:
-Diploma in Business Administration, Operations Management, Logistics, or a related field.
-Minimum 4 years of relevant working experience, preferably in operations, logistics, construction, or equipment-related industries.
-Strong organizational skills and attention to detail, with the ability to manage multiple tasks and meet deadlines independently.
-Good administrative, coordination, and interpersonal skills.
-Effective communication skills, both verbal and written.
-Proficient in Microsoft Office applications (Word, Excel, Outlook).
-Good command of spoken and written English and Bahasa Malaysia.
-Mandarin proficiency will be an added advantage due to job requirement.
