Job Description

Role Overview:

The Personal Assistant (PA) will provide comprehensive administrative, organizational, and personal support to the Director, ensuring smooth daily operations and effective time management. This role requires strong coordination skills, discretion, and the ability to handle multiple priorities in a fast-paced SME environment.

Job Responsibilities:

1. Director & Schedule Management
• Manage the Director’s daily schedule, appointments, meetings, and reminders.
• Coordinate internal and external meetings, including preparation of agendas and follow-ups.
• Act as the primary point of contact between the Director and internal/external stakeholders.

2. Administrative & Office Support
• Handle correspondence, emails, phone calls, and document management.
• Prepare reports, presentations, meeting minutes, and basic data summaries.
• Maintain proper filing systems (physical and digital).

3. Coordination & Follow-Up
• Track action items and follow up with relevant parties to ensure timely completion.
• Assist in coordinating projects, deadlines, and operational tasks assigned by the Director.
• Liaise with vendors, service providers, and partners when required.


4. Confidential & Ad-hoc Support
• Handle sensitive and confidential information with professionalism and discretion.
• Provide ad-hoc administrative and personal support as needed to support the Director’s efficiency.

Requirements:

• Diploma or Degree in Business Administration or related fields.
• Minimum 1–3 years of experience as a Personal Assistant, Executive Assistant, or administrative role.
• Strong organizational and time-management skills.
• Excellent written and verbal communication skills.
• Proficient in Microsoft Office / Google Workspace.
• High level of confidentiality, reliability, and attention to detail.
• Ability to work independently and manage multiple tasks.

Added Advantage:
• Experience working in an SME or supporting senior management.
• Familiarity with basic accounting, HR, or operations support.
• Ability to communicate in multiple languages.
