Job Summary

The Assistant Operations Executive will support the daily operations of the cleaning services division, ensuring smooth manpower coordination, compliance with regulatory requirements, and high service quality across all sites. The role requires strong administrative, operational, and people management skills, especially in handling foreign workers and industry-specific processes.

Key Responsibilities

Operations & Site Management

Assist in planning, scheduling, and supervising daily cleaning operations across multiple sites
Ensure all sites meet service standards, client expectations, and company SOPs
Conduct routine site inspections and resolve operational issues promptly
Coordinate manpower deployment, replacements, and emergency coverage

Manpower & Team Management

Supervise and manage cleaning teams, including foreign workers
Provide guidance, training, and performance monitoring for cleaners and supervisors
Handle disciplinary matters, attendance tracking, and staff welfare

Compliance & Documentation

Manage and handle foreign worker documentation, including:
Work permits (including high-volume processing such as 60K permits)
FOMEMA medical arrangements and renewals
FWCMS system updates and compliance
Ensure all regulatory requirements are met to avoid penalties or legal issues
Maintain proper records for audits and inspections

Client & Stakeholder Management

Act as a point of contact for clients regarding operational matters
Address client feedback, complaints, and service improvement requests
Maintain good working relationships with clients and internal teams

Inventory & Chemical Handling

Oversee usage and stock of cleaning chemicals, tools, and equipment
Ensure proper handling, storage, and safety compliance of cleaning chemicals
Recommend suitable cleaning solutions and materials for different environments

Administrative & System Usage

Prepare reports, attendance records, and operational documentation
Use internal systems/software for tracking manpower, scheduling, and reporting
Ensure accurate and timely data entry across all platforms

Job Requirements
Diploma or Degree in Business Administration, Operations Management, or related field
Minimum 2–4 years of experience in cleaning services, facilities management, or related industry
Hands-on experience handling:
Foreign worker permits (including bulk processing such as 60K permits)
FOMEMA procedures
FWCMS system
Experience managing and leading teams of foreign workers is highly preferred
Knowledge of cleaning chemicals, equipment, and industry practices is an added advantage
Strong problem-solving and multitasking abilities
Good communication and interpersonal skills
Technical Skills
Proficient in Microsoft Office (Excel, Word, Outlook)
Familiar with workforce management or scheduling systems
Comfortable working with compliance and documentation systems
