Job Scope/Description:
Data Entry Duties
Accurately enter, update, and maintain data in company databases, spreadsheets, or systems.
Verify data for accuracy and completeness before entry.
Perform regular data backups and ensure data integrity is maintained.
Prepare data reports or summaries as requested by supervisors or management.
Assist in digitizing paper records and filing electronic documents.
Clerical and Administrative Support
Maintain organized physical and digital filing systems.
Handle incoming and outgoing correspondence (emails, letters, forms, etc.).
Photocopy, scan, print, and bind documents as needed.
Support office staff with clerical tasks such as preparing documents, labels, and forms.
Maintain inventory of office supplies and place orders when necessary.
Recordkeeping & Documentation
Maintain accurate records for invoices, receipts, and other documents.
Assist in compiling reports for finance, HR, or management.
Ensure proper archiving and disposal of outdated files as per document retention policies.
Communication & Coordination
Liaise with internal departments (e.g., HR, Finance, Procurement) for data-related tasks.
Follow up on outstanding documents or approvals.
Provide basic information or support to visitors or callers, redirecting queries appropriately.
Job Requirements
Skills & Competencies Required:
Fast and accurate typing/data entry skills.
Good attention to detail and strong organizational skills.
Proficiency in Microsoft Office (Word, Excel, Outlook) and Google product.
Basic understanding of administrative and clerical procedures.
Ability to work independently and manage time effectively.
Good communication skills (verbal and written) in English and Local language.
Qualifications & Experience:
Minimum SPM / Diploma in Business Administration, IT, or related field.
1–2 years of experience in a data entry or clerical role (fresh graduates may also apply).
Experience with data management or ERP systems (e.g., SAP, etc) is an advantage.
