Job Description

Key Responsibilities

1. Executive Support

Provide comprehensive administrative support to the CEO and senior leadership team.

Manage executive calendars, appointments, travel arrangements, and meeting schedules.

Handle confidential documents and sensitive information with discretion.

Prepare reports, briefing papers, presentations, and correspondence for executives.

2. EXCO Meeting Coordination

Coordinate and organize Executive Committee (EXCO) meetings including scheduling, agenda preparation, and logistics.

Prepare and circulate meeting agendas, reports, and supporting documents before meetings.

Record and prepare Minutes of Meeting (MOM) accurately and ensure timely distribution.

Track and follow up on action items and decisions from EXCO meetings with relevant departments.

Maintain proper documentation and records of EXCO meetings.

3. Communication & Coordination

Act as the liaison between senior management, department heads, and external stakeholders.

Coordinate cross-departmental communication and ensure timely follow-ups.

Assist in preparing internal announcements, updates, and executive communications.

4. Administrative & Operational Support

Assist in project coordination and tracking for executive initiatives.

Manage documentation, filing systems, and internal records.

Support event coordination, management meetings, and corporate activities.



Requirements

Diploma or Bachelor’s Degree in Business Administration, Management, or related field.

3–5 years of experience as an Executive Assistant or similar role supporting senior management.

Experience managing EXCO / Board / Senior Management meetings is preferred.

Strong experience in preparing Minutes of Meeting (MOM), reports, and presentations.

Excellent organizational and time management skills.

Strong written and verbal communication skills.

High level of professionalism and confidentiality.

Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
