Job Description

Talent Management
• Assist in maintaining and updating the corporate structure and organization structure of the Group

• Support the Head of HCA in reviewing and refining organization structure to align with strategic priorities.

• Provide administrative support in gathering resource needs for annual or project manpower planning.

• Assist to draft and update functional job descriptions based on input from relevant stakeholders.

• Assist to document career pathways in collaboration with operational teams.

• Prepare and maintain staff movement documentation such as confirmation letters and contract renewals.

• Assist in compiling career aspiration data of high-potential employees.

Talent Acquisition
• Maintain potential candidate databases and assist in initial screening of applicants.

• Support recruitment activities including job postings, interview scheduling, and contract preparation.

• Coordinate interview logistics between hiring managers and candidates.

• Update onboarding materials and lead onboarding sessions.

• Provide input on onboarding improvements to enhance employee experience.

Performance Management
• Assist in coordinating group-wide KPI/goal setting and performance review processes.

• Support documentation related to succession planning.

• Track and file performance improvement plans and related discussions (where applicable).

Learning & Development
• Assist in preparing training needs analysis (TNA) templates

• Help compile performance review data into TNA format

• Support identification of training providers and summarize options for review

• Coordinate training schedules and liaise with vendors and internal teams

• Ensure training logistics and equipment setup are completed on time

• Monitor attendance and feedback from training sessions

HR Operations
• Execute daily HC operations including payroll, attendance, claims, and statutory filings using HRMS and manual forms

• Respond to employee queries related to HRMS and escalate complex issues

• Generate standard HC reports and assist in responding to internal stakeholder requests

• Maintain employee personal files in both softcopy and hardcopy formats

•Ensure proper filing of HC correspondences and documentation

Employee Engagement Relationships
• Support implementation of employee engagement and well-being initiatives

• Assist in organizing Group-wide engagement programmes and CSR activities

• Help monitor employee sentiment through surveys and feedback collection

Offboarding and Separation
• Execute offboarding procedures and ensure return of Company properties prior to employees exit

• Coordinate exit interviews and compile feedback

• Provide suggestions to improve offboarding processes

HR Governance and Reporting
• Assist in documenting HC policies, processes, and procedures

• Ensure statutory documents are filed and stored appropriately

• Support Head of HCA in preparing reports and dashboards for leadership review

• Compile data for semi-filing requirements (e.g., Bursa submissions)
