Job Description

The HR & Admin Executive is responsible for supporting the Human Resources and Administration functions of the Company, including recruitment, employee relations, attendance and leave management, payroll coordination, disciplinary matters, documentation, and general office administration. The role ensures smooth daily HR and administrative operations while maintaining compliance with company policies and employment regulations

• Assist in recruitment activities including job posting, CV screening, interview coordination, onboarding and offboarding

• Maintain accurate employee records, HR databases and personnel

• Manage payroll processing, including calculating salary, overtime, allowances, deductions and ensuring timely payment

• Manage all statutory submissions and compliance (EPF, SOCSO, EIS, INCOME TAX)

• Prepare all HR-related letters including appointment letters, confirmation letter, warning letter, show cause letter, warning letter, salary adjustment letters, termination letters, transfer letter, promotion letter, redesignation letter, and other employee correspondence.

• Manage leave and attendance records and exit interview process

• Monitoring and maintaining company desktops and laptops, including coordinating the setup and email account creation for new hires.

• Manage gate/ID passes for new employees and handle renewals or deactivations/terminations as required

• Manage petty cash for HR and administrative expenses, ensuring proper documentation and accurate records

• Oversee office operations including facility management, office supplies, and equipment maintenance.

• Handle correspondence, communications, and office inquiries.

Qualifications

• Diploma or Degree in Human Resources, Business Administration or related field

• Knowledge and hands-on experience in HR2000 or Infotech HR System is an added advantage.

• Knowledge of Malaysian labour laws and industrial relations practices is an advantage

• Proficient in Microsoft Office applications

• Strong communication, interpersonal and problem-solving skills

• Ability to handle sensitive employee matters tactfully

• Good time management and attention to detail
