Job Description

Core Responsibilities (Across All Functions)
Support the setup and maintenance of client accounts, ensuring all documentation and data are captured accurately and in line with internal and regulatory requirements.

Maintain and reconcile client and transaction records, ensuring data integrity across systems.

Liaise with internal teams, brokers, counterparties, and service providers to facilitate efficient transaction processing.

Investigate and resolve operational exceptions, discrepancies, and client queries in a timely manner.

Ensure adherence to ASX, CHESS, AML/KYC, and internal control frameworks.

Manage competing priorities and consistently meet service level expectations.

Identify process improvement opportunities and support initiatives that enhance efficiency, accuracy, and control.

Operations Functions
Securities (Stock Transfers)

Process and manage securities transfers, including on-market and off-market movements between brokers and registries. Ensure transactions are executed accurately, within required timelines, and in accordance with market rules and internal procedures.

Portfolio Administration

Perform ongoing administration of client portfolios, including corporate actions, income events, and managed fund transactions. Maintain accurate asset records and execute client instructions in a timely manner.

Key Requirements
1–3 years’ experience in financial services operations (e.g. onboarding, settlements, securities, or brokerage operations).

Understanding of financial markets, trade lifecycle, and securities processing.

Strong attention to detail with a reconciliation and control-focused mindset.

Ability to manage multiple tasks and prioritize effectively under tight deadlines.

Strong problem-solving, communication, and stakeholder management skills.

Proficiency in Microsoft Office, particularly Excel.

Relevant tertiary qualification in Finance, Accounting, Business, or a related field preferred.

Proactive, adaptable, and able to work effectively in a team-oriented environment.

Willingness to work staggered hours aligned to market operations, where required.
