Job Description
Requirements:
· Diploma / Degree in Business Administration, Logistics, Supply Chain or related field.
· Minimum 5 years experience as Personal Assistant, preferably in logistics/shipping/transport industry.
· Strong knowledge of shipping processes and documentation is an added advantage.
· Good command of English & Bahasa Malaysia (Mandarin is an added advantage).
· Proficient in Microsoft Office (Excel, Word, PowerPoint).
· Strong organizational and multitasking skills.
· Able to work under pressure and meet tight deadlines.
· High level of integrity and confidentiality.
· Strong organizational and time-management skills, with the ability to manage multiple priorities and meet tight deadlines effectively.
· Excellent interpersonal and communication skills, with confidence in engaging senior stakeholders and external partners professionally.
· Resourceful, proactive, and capable of working independently with strong ownership and follow-through.
· Flexible and willing to travel locally or overseas, and to provide support outside normal office hours when required.
· Prior experience in protocol coordination and corporate event support will be an added advantage.
Job Responsibilities:
· Manage complex calendars, appointments, emails, calls, and daily priorities; optimize scheduling and resolve conflicts proactively.
· Act as the primary liaison for internal and external communications; screen and prioritize requests while ensuring timely and appropriate follow-ups.
· Draft, review, and format correspondence, reports, presentations, meeting minutes, and other documents on behalf of Senior Management.
· Coordinate board meetings, executive meetings, and senior engagements, including preparation of agendas, briefing materials, meeting packs, logistics arrangements, and tracking of action items.
· Attend meetings when required to record minutes, capture key decisions, and monitor follow-up actions to ensure timely completion.
· Maintain strict confidentiality and implement proper document control, filing systems, record-keeping, and secure handling of sensitive information.
· Manage comprehensive travel arrangements, including flights, accommodation, transportation, visas, and detailed itineraries with briefing notes where necessary.
· Coordinate official engagements and protocol arrangements (e.g., RSVPs, guest management, seating plans, event flow, and timing).
· Support corporate functions and senior leadership events (e.g., board dinners, stakeholder engagements, formal visits, client meetings), including vendor coordination and on-site execution when required.
· Liaise effectively with board members, senior management, external stakeholders, and internal departments(Operations, Finance, HR , Warehouse and etc) to ensure seamless communication and coordination.
· Exercise sound judgment in handling professional and private engagements of senior leadership with discretion and professionalism.
· Conduct research, gather relevant information, and prepare summaries or reports as requested by the Director or Management to support business decisions and operational needs.
· Support strategic initiatives, special projects, and perform ad-hoc duties as assigned by Management.
