Job Description
Job Responsibilities:
1. Sales Support
• Assist the sales team with administrative duties, including scheduling meetings, preparing presentations, and managing calendars.
• Provide timely and accurate information to the sales team regarding customer inquiries, sales orders, and product availability.
• Act as a point of contact between the sales team and customers, responding to queries and providing necessary support.
2. Order Processing
• Receive and process customer orders, ensuring all details are accurately recorded in the system.
• Verify product availability and coordinate with the warehouse or inventory team to fulfill orders.
• Ensure timely and accurate delivery of products or services, tracking orders from receipt to shipment.
3. Sales Reporting & Documentation
• Prepare and maintain sales reports, including sales performance, forecasts, and customer insights.
• Monitor and track sales performance metrics, providing regular updates to the sales team and management.
• Maintain accurate customer records, contracts, and correspondence, ensuring compliance with company policies.
4. Customer Relationship Management
• Update and manage customer details, sales activity, and interaction history.
• Track customer orders, shipments, and payment status to ensure customer satisfaction.
• Assist with customer follow-up, ensuring timely responses to inquiries, complaints, and requests.
5. Inventory Management
• Assist in managing product stock levels, ensuring the availability of products for sales.
• Coordinate with the warehouse or inventory team to monitor stock and handle any inventory-related issues.
• Assist with stock replenishment and order forecasting.
6. Quotation and Pricing Management
• Prepare and send out sales quotations to customers in line with company pricing policies.
• Ensure all sales quotations are accurate and compliant with company pricing strategies.
• Work with the sales team to adjust prices or terms based on special promotions or customer negotiations.
7. Coordination with Other Departments
• Work closely with the finance team to ensure that all sales orders are invoiced correctly and promptly.
• Collaborate with the logistics and shipping teams to ensure that orders are processed, shipped, and delivered on time.
• Assist the marketing team by providing necessary information about customer preferences or feedback for campaigns.
8. Sales Team Support
• Organize and maintain sales documents, proposals, contracts, and agreements.
• Help with the onboarding and training of new sales team members.
• Support the sales team with administrative tasks such as travel arrangements, expense reports, and maintaining sales calendars.
9. Problem Resolution
• Address and resolve issues related to customer complaints, order discrepancies, or delivery problems.
• Provide solutions and alternatives when issues arise to ensure customer satisfaction and timely order fulfilment.
10. Miscellaneous Administrative Tasks
• Perform general office duties such as answering phones, filing, and managing office supplies.
• Assist with preparing for sales meetings, trade shows, and other sales-related events.
