Job Description

Key Responsibilities

I) Vessel Handling & Clearance
-Arrange and declare vessel arrivals and departures at ports throughout Malaysia
-Liaise with the Marine Department, Port Authorities, Immigration, and Customs to ensure timely and compliant documentation.

II) Crew Change Coordination
-Plan and execute on/off-signing crew movements, including transport, lodging, medicals, and immigration formalities.
-Work closely with clients, vessel masters, and service partners to ensure crew welfare and smooth logistics.

III) Operational Coordination
-Arrange berth bookings, pilotage, and cargo loading/discharging activities in coordination with terminal and port control.
-Oversee coordination of ship supplies, technical services, and contractors as required by clients.

IV) Procurement & Logistics
-Source, negotiate, and procure ship supplies, spare parts, and technical services cost-effectively and on time.
-Ensure accuracy and traceability in all supply-related documentation.

V) Documentation & Billing
-Prepare and process agency documentation – husbandry and bunkering Statement of Facts, etc.
-Verify supplier invoices and ensure prompt billing to clients.

VI) Multi-Port Operations
-Manage or supervise port calls across multiple Malaysian ports, providing remote coordination support when needed.
-Maintain strong working relationships with local port authorities and service providers nationwide.

VII) Continuous Improvement
-Support the Operations Manager/General Manager in developing standard operating procedures and improving operational efficiency.

Requirements
-Minimum 3–5 years of experience as a Port Agent or Boarding Officer in husbandry or cargo operations.
-Strong understanding of relevant maritime laws, regulations and industry standards
-Strong network and working relationships with the Marine Department, Immigration, Customs, and other Port Authorities.
-Excellent coordination and communication skills with seafarers, clients, and government officers.
-Proficient in Microsoft Office and familiar with standard shipping documentation and reporting; good analytical and report writing skills
-Able to travel and respond to operational needs across different Malaysian ports (occasionally on short notice).
-Possess a valid driving licence and willingness to work flexible hours (nights and weekends) when vessels call.

Preferred Attributes
-Hands-on experience with crew change and vessel husbandry in ports such as Port Klang, Penang, Pasir Gudang, and Labuan.
-Strong ownership mindset, sense of responsibility, problem-solving attitude, and ability to work independently.
