Job Description
Position Overview
The Project Coordinator is responsible for supporting project execution by ensuring timely coordination of materials, especially custom-made products, monitoring project progress, and maintaining effective communication between site teams, vendors, and internal departments. This role plays a critical part in material forecasting, procurement planning, and ensuring project delivery timelines are met.
Key Responsibilities:
1. Project Coordination & Execution
Assist Project Manager in coordinating day-to-day project activities.
Monitor project schedules, milestones, and deliverables.
Liaise with site teams to ensure smooth execution of works.
Track project progress and provide regular updates to management.
2. Material Planning & Forecasting
Prepare and monitor material forecast plans based on project timelines.
Ensure timely availability of materials to avoid project delays.
Track material consumption vs forecast and update accordingly.
Coordinate with procurement and warehouse teams on material requirements.
3. Custom-Made Products / Materials Management
Coordinate requirements for custom-made products/materials as requested by site teams.
Liaise with engineering/design team to finalize specifications and drawings.
Work closely with vendors/suppliers to ensure:
Compliance with specifications
Timely production and delivery
Quality requirements are met
Monitor production timelines of custom items and escalate delays.
4. Vendor & Supplier Coordination
Source and liaise with suppliers for project materials.
Follow up on quotations, lead times, and delivery schedules.
Source and liaise with suppliers meet project requirements and deadlines.
Maintain updated vendor database and performance tracking.
5. Documentation & Reporting
Maintain proper documentation including: -
Material requisition records
Delivery orders
Purchase requests
Project reports
Prepare weekly/monthly reports on:
Material status
Project progress
Risks and delays
6. Cost & Inventory Control
Monitor material usage to minimize wastage.
Assist in tracking project costs related to materials.
Ensure proper inventory control and reconciliation with warehouse.
7. Cross-Functional Coordination
Liaise with: -
Engineering / Design Team
Procurement Team
Warehouse / Logistics
Site Team
Ensure alignment between design, procurement, and execution.
8. Compliance & Quality Assurance
Ensure all materials comply with project specifications and standards.
Support QA/QC processes for incoming materials.
Ensure documentation is aligned with project and audit requirements.
Job Requirements: -
Education
Diploma / Degree in Engineering, Project Management, Supply Chain, or related field.
Experience
Minimum 2–5 years of experience in project coordination, preferably in:
Electrical / Engineering / Construction industry
Earthing & Lightning Protection / Solar / Infrastructure projects
Technical Competencies
Strong understanding of: -
Project coordination processes
Material planning & forecasting
Custom fabrication / engineering products
Proficiency in Microsoft Office (Excel, Word, PowerPoint).
Experience with ERP systems (e.g., Infotech or equivalent) is an advantage.
Soft Skills
Strong coordination and communication skills.
Detail-oriented with strong planning ability.
Ability to manage multiple projects and deadlines.
Problem-solving and proactive mindset.
