Job Descriptions:

● Inventory Management & Control:

○ Forecast, plan, coordinate, and procure medical supplies, pharmaceuticals, and other inventory items based on demand, consumption patterns, and operational needs.

○ Monitor and maintain optimal stock levels to prevent overstocking, understocking, and stockouts, ensuring the continuous availability of critical items.

○ Conduct regular physical inventory counts, cycle counts, and reconciliation with system records (e.g., ERP/MMIS), investigating and resolving any discrepancies.

○ Manage the receipt, inspection, proper storage, and distribution of incoming goods, ensuring correct labeling, shelving, and adherence to specific storage conditions (e.g., temperature-controlled environments for pharmaceuticals).

○ Implement and maintain accurate inventory records and data in the inventory management system.

○ Actively manage slow-moving, redundant, aging, and expiring stocks to minimize write-offs and identify opportunities for their utilization or disposal in accordance with company policy and regulations.

○ Track lot numbers and expiry dates for all relevant products and manage product recalls efficiently and effectively.

● Procurement & Supplier Coordination:

○ Generate purchase orders based on inventory needs and procurement schedules.

○ Coordinate closely with suppliers, principals, and forwarders for timely inbound shipments and deliveries.

○ Expedite and negotiate deliveries, and resolve issues related to replacements, price discrepancies, and claims with vendors.

○ Maintain good working relationships with suppliers and evaluate their performance.

● Compliance & Quality Assurance:

○ Ensure strict adherence to all relevant healthcare regulations, industry standards, and internal policies concerning the storage, handling, and tracking of medical supplies and pharmaceuticals (e.g., Good Storage Practices, Ministry of Health Malaysia guidelines).

○ Uphold high standards of storeroom cleanliness and comply with infection control protocols.

○ Ensure the integrity and quality of products are maintained throughout the supply chain.

● Data Analysis & Reporting:

○ Analyze inventory data, sales trends, and consumption patterns to improve demand forecasting accuracy.

○ Prepare and present periodic management reports and key performance indicators (KPIs) related to inventory position, stock aging, inventory turnover, and cost efficiency.

○ Utilize data insights to identify areas for process improvement, cost reduction, and enhanced efficiency in inventory operations.

● Collaboration & Communication:

○ Collaborate effectively with cross-functional departments, including clinical staff, nursing, pharmacy, procurement, finance, and logistics, to understand their inventory needs and ensure smooth operations.

○ Provide support and education to other departments on inventory procedures and best practices.

○ Communicate clearly and professionally with internal and external stakeholders.

Eligibility:

● Only Malaysian citizens.

Key Requirements:

● Candidates must possess at least a Diploma or Bachelor's degree in Logistics, Supply Chain Management, Business Administration, Finance, or a related field. Some roles may accept a high school diploma with extensive relevant experience.

● Proven experience in inventory management or a similar role, ideally within the healthcare or pharmaceutical industry. Junior roles may require less experience, while senior roles demand significant strategic and leadership experience.

● Computer literacy and ability to quickly learn new systems.

● Strong mathematical aptitude.

● Reliability and punctuality.

● Ability to handle stressful situations calmly and professionally.

● High level of integrity and ability to maintain confidentiality, especially with sensitive medical information.

● 2 years relevant working experience is preferable

● Proficiency in data analysis, reporting and utilizing relevant software tools
