Job Description

Requirements:
-Minimum SPM / Diploma in Business Administration or equivalent.
-Preferrable candidate is well verse in Mandarin. Due to work nature and require to liaise with Mandarin / Cantonese speaking Dispatch Team.
-Experience in administrative work, logistics coordination, or customer support preferred.
-Strong organizational, communication, and time management skills.
-Ability to multitask in a fast-paced environment.
-Proficient in Microsoft Office (Excel, Word, Outlook).
-Experience using Google Workspace (Google Sheets, Google Docs, Google Drive, Google Forms) for data entry, document management, and internal coordination.
-Familiarity with accounting software (especially AutoCount) is an added advantage.


Key Responsibilities:
Packing & Delivery Coordination
-Coordinate and monitor packing activities according to SOP and labeling requirements.
-Liaise with the lab team to ensure products are packed accurately and ready for delivery.
-Schedule and coordinate deliveries with in-house drivers or third-party logistics.
-Track parcels, follow up on delivery status, and ensure timely dispatch.
-Maintain detailed delivery records and packing logs.

Administrative & Sales Support
-Redirect phone calls, emails, and correspondence to the appropriate sales team member or key personnel.
-Provide general administrative support independently and efficiently.
-Facilitate delivery orders, process additional client requests, and update order records.
-Handle daily checklists and sort prescriptions based on internal processes.
-Ensure all operations comply with SOPs and management instructions.
-Use Google Drive for storing and organizing documents, Google Docs for preparing internal reports, and Google Sheets for tracking orders, checklists, or delivery status.
-Assist in managing Google Forms for data collection (e.g., order updates, feedback, inventory inputs).

Data Entry & Bookkeeping
-Perform accurate data entry and maintain updated records.
-Assist with invoice generation, filing, and maintaining the documentation system.
-Update company spreadsheets using Google Sheets, ensuring data consistency and accuracy across records.
-Collaborate with the team through shared Google files to support smooth workflow and document control.
