Job Description
Key Responsibilities
Administrative Support:
Provide comprehensive administrative support to the executive team.
Manage calendars, schedule appointments, and coordinate meetings and travel arrangements.
Prepare and organize documents, presentations, reports, and other materials as required.
Handle incoming and outgoing correspondence, including emails, letters, and phone calls.
Maintain confidentiality and handle sensitive information with discretion.
Project Coordination:
Assist in initiating and managing groundwork for the establishment of a factory in Malaysia.
Conduct research, gather data, and compile reports on market trends, potential locations, regulations, and local business practices.
Liaise with relevant government agencies, suppliers, contractors, and other stakeholders to facilitate project progress.
Coordinate with internal departments to ensure smooth communication and collaboration.
Travel Management:
Coordinate travel arrangements, including flights, accommodations, visas, and transportation.
Prepare itineraries and provide necessary information for business trips.
Arrange meetings, appointments, and site visits during travel.
Handle expense reports and reimbursements related to travel activities.
Multitasking and Flexibility:
Perform a wide range of tasks simultaneously, prioritizing effectively and managing time efficiently.
Adapt to changing priorities and handle unexpected challenges with a proactive and solutions-oriented mindset.
Coordinate multiple projects and deadlines while maintaining attention to detail.
Professional Knowledge:
Possess a strong understanding of business operations, project management principles, and relevant industry knowledge.
Stay updated on current trends, regulations, and developments in the manufacturing industry and business environment in Malaysia.
Apply professional knowledge to provide insights, recommendations, and support in decision-making processes.
Proficiency in accounting principles and practices would be an advantage.
Communication and Relationship Management:
Communicate effectively and professionally with internal and external stakeholders.
Build and maintain strong relationships with key contacts, including government officials, suppliers, and local partners.
Facilitate effective communication between the executive team and various stakeholders.
Represent the company in a professional and diplomatic manner.
Experience Required
At least 5+ years of administrative and professional corporate services position. Experience in financial services, management consultancy and/or a professional services environment a plus.
Bachelor's degree as a minimum educational requirement. Master Degree would be added advantage.
Excellent knowledge of Outlook, Word, PowerPoint, and Excel required. Knowledge of CRM (Microsoft Dynamics) would be benefit but not necessary
Proficiency in English and Mandarin required, other language would be added advantages.
Attention to detail and ability to handle confidential information.
Be willing and able to travel both domestically and internationally as required for business purposes.
