Job Description

Responsible for supporting the sales process by handling client emails, making outbound calls to leads, following up consistently, coordinating appointments, and assisting in closing deals for training courses, university courses, and talent management consulting services.

RESPONSIBILITIES:
Lead Handling & Follow-Up
1. Contact leads via phone calls, WhatsApp, email, and social media messages based on the company’s lead list.
2. Perform consistent follow-up (e.g., Day 1 / Day 3 / Day 7 / Day 14) to move leads toward booking and payment.
3. Qualify leads using simple criteria (interest, budget, timeline, decision maker) and escalate hot leads to CEO/Sales Manager when needed.
4. Update lead status and next action in the tracking sheet/CRM.

Client Communication
1. Reply and send professional emails to clients: course information, brochures, schedules, pricing, and FAQs.
2. Arrange meetings, calls, or site visits for CEO/Sales Manager and confirm attendance with the client.
3. Maintain courteous, responsive communication and ensure clients receive timely updates.


Closing Support
1. Assist in preparing standard quotations, invoices/proforma invoices, and registration confirmations based on approved templates.
2. Follow up on quotation acceptance, payment status, and document completion (registration form, purchase order, etc.).
3. Confirm booking details (date, venue/online link, number of participants, HRDF/claim documents if applicable).

Sales Administration & Reporting
1. Maintain accurate records of leads, calls, emails, follow-up dates, outcomes, and sales conversion.
2. Prepare a simple weekly report:
-number of leads contacted
-follow-ups done
-meetings arranged
-quotations sent
-deals closed / pending
3. Coordinate internally with trainers/consultants for program availability and delivery schedule.

After-Sales Coordination
1. Support client onboarding after closing: sending confirmation email, training details, checklist, and reminders.
2. Collect basic client feedback and report any issues to CEO/Sales Manager for improvement.
