Job Description

Job Responsibilities & Accountabilities

1. Inventory Management
-Regularly update stock balance records to monitor inventory levels and movement.
-Manage packaging and raw material inventory to minimize wastage and support operational efficiency.

2. Stock Quality Control
-Verify delivery quantities and delivery dates against Proof of Delivery (POD).
-Coordinate with third-party partners to conduct random physical stock checks and monitor expiry dates to ensure inventory accuracy and quality control.

3. Procurement Coordination
-Issue purchase orders for production purchasing needs, ensuring timely procurement of materials.
-Coordinate with the e-commerce team on Delivery on Behalf (DOB) arrangements.

4. Order Management
-Follow up on order deliveries and estimate arrival times for tracking and coordination purposes.
-Monitor order status and liaise with manufacturers and logistics partners to expedite deliveries when necessary.

5. Record Keeping
-Update production schedules and Estimated Time of Departure (ETD) records for tracking and monitoring purposes.

Job Requirements

Must Have
-Minimum 1 year of working experience in clerical or administrative roles, preferably related to inventory management or procurement.
-Proficient in Microsoft Office applications, especially advanced Microsoft Excel.
-Basic analytical skills.

Good to Have
-Strong attention to detail with high accuracy in data entry and record keeping.
-Excellent organizational and time management skills with the ability to prioritize tasks effectively.
-Good communication and interpersonal skills for coordination with internal teams and external stakeholders.
-Knowledge of inventory management principles, procurement processes, and basic import/export regulations is an added advantage.

Communications
-Internal : Mainly involves sales, brand, supply chain, operation, admin, finance, human resource etc
-External : Main contact are external vendors/ suppliers
