Role Overview / 职位概述

As the HR & Administration Manager, you will be responsible for managing the full spectrum of human resources and administration functions for Auto Elegance. This includes recruitment, onboarding, employee relations, HR policies, performance management, staff records, payroll coordination, and office administration.

You will play an important role in building structured HR and administrative processes that support business growth, maintain compliance, and ensure the day to day operations of the company run smoothly.

你将扮演关键角色,协助建立更完善的 HR 与行政流程,以支持公司发展、确保合规,并让日常运营更顺畅有序。

Key Responsibilities / 主要职责

1. Human Resources Management / 人力资源管理
Develop and implement HR strategies, policies, and procedures aligned with business needs.
制定并落实符合公司业务需要的人力资源策略、政策及流程。

Manage the full recruitment cycle, including manpower planning, job postings, screening, interviews, offer preparation, and onboarding.
负责完整招聘流程,包括人力规划、招聘广告发布、筛选简历、安排面试、准备录用文件及新员工入职。

Handle employee lifecycle matters, including confirmation, transfer, promotion, resignation, and offboarding.
处理员工生命周期相关事务,包括转正、调岗、晋升、离职及离职交接。

Maintain accurate employee records, HR files, and confidential documentation.
妥善管理员工档案、人事文件及保密资料。

Support performance management processes, including probation review, performance discussions, and staff development follow-up.
协助绩效管理工作,包括试用期评估、绩效沟通及员工发展跟进。

Handle employee relations matters professionally and support the resolution of workplace issues.
专业处理员工关系事务,并协助处理工作场所相关问题。

2. Payroll, Benefits & Compliance / 薪资、福利与合规
Coordinate payroll inputs, attendance, leave records, claims, and other HR data accurately and on time.
准确并及时整理薪资所需资料,包括考勤、请假、报销及其他 HR 数据。

Support staff benefits, allowances, and welfare administration.
协助管理员工福利、津贴及员工关怀事项。

Ensure compliance with Malaysian employment laws, statutory requirements, and internal company policies.
确保公司运作符合马来西亚劳工法令、法定要求及公司内部政策。

Liaise with external parties such as payroll vendors, legal advisors, or relevant authorities when required.
在需要时与薪资服务商、法律顾问或相关政府机构对接。

Assist in preparing HR-related reports and supporting documents for audit or management review.
协助准备 HR 报表及相关文件,以供审计或管理层审核。

3. Administration & Office Operations / 行政与办公室运营
Oversee office administration, including supplies, filing systems, company letters, and general office upkeep.
负责办公室行政管理,包括办公用品、档案系统、公函处理及办公室日常维护。

Coordinate with internal departments to ensure smooth daily administrative support.
与各部门协调,确保日常行政支持工作顺畅进行。

Manage company documentation, internal memos, and general administrative records.
管理公司文件、内部通告及一般行政记录。

Support management on ad hoc administrative and operational matters when required.
在需要时协助管理层处理临时行政及营运事务。

4. Policy, Process & Organisational Setup / 政策、流程与组织建设
Build, review, and improve HR and administrative SOPs, workflows, and policies.
建立、检讨及优化 HR 与行政 SOP、工作流程及相关政策。

Support the setup of a more structured and professional HR and administration framework for a growing organisation.
协助为成长中的组织建立更有系统、更专业的人事与行政管理架构。

Improve documentation, tracking, and reporting practices for better operational control.
优化文件管理、追踪及汇报机制,以提升内部管理效率。

5. Reporting & Stakeholder Coordination / 汇报与跨部门协调
Prepare regular HR and administrative reports, including recruitment status, headcount, attendance, and turnover updates.
定期准备 HR 与行政报表,包括招聘进度、人头数、考勤及离职情况等。

Work closely with department heads to understand hiring needs and operational priorities.
与各部门主管紧密合作,了解招聘需求及业务重点。

Act as a key contact point for employees and management on HR and administration matters.
作为员工及管理层在人力资源与行政事务上的主要联系窗口。

Requirements / 任职要求
Minimum 5 years of relevant experience in HR and administration, with at least 2 years in a managerial or independent HR role.
至少 5 年 相关 HR 与行政工作经验,其中至少 2 年 为管理岗位或独立负责 HR 职能的经验。

Experience handling the full spectrum of HR functions, including recruitment, onboarding, employee relations, and policy administration.
具备处理 全盘 HR 工作 的经验,包括招聘、入职、员工关系及政策管理。

Good knowledge of Malaysian employment law and HR best practices.
熟悉 马来西亚劳动法 及人力资源最佳实践。

Experience in setting up or strengthening HR processes in a growing organisation is an advantage.
有建立或完善成长型组织 HR 流程的经验者优先。

Strong sense of responsibility, good execution ability, and willingness to learn.
责任感强,执行力好,并具备良好的学习能力。

Mature, organised, and able to handle confidential matters with professionalism and discretion.
成熟稳重,有条理,能专业且谨慎地处理机密事务。

Strong interpersonal, communication, and problem solving skills.
具备良好的人际沟通及问题解决能力。

Able to work independently in a fast paced environment and support multiple departments effectively.
能在快节奏环境中独立工作,并有效支持多个部门。

Language: Proficiency in Mandarin (to converse with HQ) and English; Bahasa Malaysia is an advantage.
语言要求: 具备良好的 中文(普通话)及英文 沟通能力;懂 马来文 者为加分项。

Bachelor’s degree in Human Resources, Business Administration, Management, or a related field.
拥有 人力资源、工商管理、管理学或相关科系 学士学位。
