Job Description

Role and Responsibilities:

-Manage the calendar of the Chief of Staff & CEO by scheduling appointments, organizing meetings, and prioritizing urgent requests effectively.

-Prepare and organize materials for meetings, conferences, and agendas to ensure the Regional Manager is fully prepared for all engagements.

-Record and distribute accurate meeting minutes for sessions attended by the regional team, ensuring timely communication with relevant stakeholders.

-Provide comprehensive administrative support to the regional team, including managing correspondence, documentation, and overall office administration.

-Coordinate and support the meetings and activities of the Senior Management Team.

-Track, follow up on, and report the status of delegated tasks and action items on behalf of the Regional Manager.

-Serve as the primary liaison for all internal and external communications related to the CEO Office team, maintaining a high level of professionalism and confidentiality at all times.

-Communicate and collaborate with all levels of management, departments, and external stakeholders in a professional and discreet manner.

-Perform any other administrative or operational duties as assigned by the CEO Office or operations team.

You should have:

-Diploma or Degree in Business Administration or a related field.

-Minimum of 3 years’ experience in a secretarial or administrative support role.

-Excellent organizational skills with the ability to multitask and prioritize effectively under pressure.

-Strong attention to detail and a high level of accuracy in work.

-Proficient in Microsoft Office applications (Word, Excel, PowerPoint).

-Excellent communication skills in English, Mandarin, and Bahasa Melayu to effectively communicate with our diverse client base and stakeholders (both written and spoken).

-Strong interpersonal skills with a proactive and professional approach.

-Able to maintain confidentiality and demonstrate integrity in handling sensitive information.
