Job Description

Key Responsibilities:

1. Incorporate the Company Vision, Mission and Values into daily practice.

2. Attendance & Leave Management
-Manage, verify, and update daily staff attendance records via the SAP system.
-Maintain accurate attendance and leave data in both SAP and the payroll system.
-Prepare monthly attendance and leave reports for payroll processing.
-Ensure timely and accurate recording of staff leave applications.

3. Outsource Timesheet & Claims Processing
-Prepare monthly outsource staff timesheets and ensure accuracy before submission.
-Check, verify, and prepare the monthly medical claim list.
-Maintain proper records of all claims and related supporting documents.

4. Access & Clocking System Administration
-Register new employees in the clocking device and door access system.
-Deactivate clocking and access rights for resigned employees.
-Update and maintain employee profiles in the access management system.
-Ensure all access tools and devices function properly and resolve issues promptly.

5. Invoice & Payment Support
-Prepare payment listing for foreign worker’s management & service invoices and ensure timely submission to the Accounts Department.

6. Document Filing & Record Keeping
-File and organize HR documents including OT forms, leave records, medical claims, and attendance reports.
-Maintain systematic and secure personnel records in line with audit requirements.

7. Medical & Operational HR Support
-Assist in coordinating typhoid vaccinations, medical check-ups, and other mandatory health requirements.
-Provide administrative and operational support to the Senior HR Executive and HR Manager as required.

8. General HR Administration
-Assist in HR documentation and general HR-related tasks.
-Support any ad-hoc assignments or HR projects as directed by the HR Manager.

Job Requirement:
-Diploma or bachelor’s degree in human resource management, Business Administration, or any related field.

Working Experience:
-Minimum 1–2 years of working experience in HR operations or administrative roles.
-Experience handling attendance systems, SAP, or HRIS is an added advantage.
-Basic knowledge of the Employment Act 1955 and statutory requirements is preferred.
-Strong attention to detail and high accuracy in data entry.
-Good organizational and time management skills.
-Proficient in Microsoft Office (Word, Excel, PowerPoint).
-Ability to maintain confidentiality and handle sensitive information.
-Strong communication skills and ability to work well with all levels of staff.
