About the role
We are looking for a detail-oriented, organized, and proactive Admin Executive (Retail Operations) to support the smooth running of daily administrative and retail operational functions of the company. This role is responsible for handling business licenses, utility and telecommunication matters (e.g. Unifi), operation cash pass / petty cash documentation, fire safety compliance, outlet coordination, vendor follow-up, and general administrative support to ensure efficient operations across all outlets.



Key Responsibilities
Manage day-to-day administrative operations and ensure smooth office workflow

Handle and monitor business licenses, permits, and renewal documentation for outlets and company operations

Liaise with relevant authorities, landlords, and external parties on licensing, compliance, and outlet-related documentation

Manage and coordinate telecommunication and utility matters, including Unifi applications, transfers, terminations, billing, and service follow-up

Prepare, monitor, and reconcile the operation cash pass, ensuring proper supporting documents and timely submission

Manage and coordinate fire safety compliance for outlets and offices, including fire extinguisher servicing, maintenance follow-up, renewal records, and liaison with appointed contractors/service providers

Maintain proper filing and accurate records for licenses, invoices, utility accounts, payment records, fire safety documentation, and operational expenses

Coordinate with outlets on administrative and operational matters, including maintenance requests and service follow-up

Liaise with vendors, suppliers, contractors, landlords, and service providers for office and outlet operational support

Assist in preparing purchase requisitions, invoices, payment requests, and finance-related administrative documents

Handle office correspondence, emails, courier arrangements, and general administrative tasks

Monitor and maintain office supplies, pantry items, stationery, and general office inventory

Provide administrative support to the Retail Operations, HR, Finance, and Management teams as required
