Job Description
PRINCIPAL RESPONSIBILITIES
A. Payroll Administration & Statutory Compliance
Manage and process monthly payroll accurately and on time, including computation of overtime, allowances, deductions, claims, and commissions.
Ensure timely submission and remittance of statutory contributions including EPF, SOCSO/PERKESO, EIS, and PCB/MTD (Monthly Tax Deduction).
Maintain and update employee payroll records, ensuring data accuracy in the HRIS/payroll system.
Prepare payroll reports, EA forms, and support annual tax filing (Form E) submissions to LHDN.
Liaise with relevant statutory bodies (KWSP, PERKESO, LHDN) on matters relating to employee contributions and compliance.
B. Recruitment & Onboarding
Manage the full recruitment cycle from job posting, sourcing, screening, interviewing, to offer management.
Prepare Letters of Appointment, employment contracts, and related onboarding documentation in compliance with the Employment Act 1955 (as amended).
Coordinate and conduct employee orientation and induction programmes for new hires.
Maintain and update the organisational chart and manpower planning records.
C. Employee Relations & Disciplinary Management
Handle employee grievances, counselling, and conflict resolution in a fair and timely manner.
Manage the full disciplinary process including issuance of show cause letters, conducting domestic inquiries, and administering appropriate disciplinary actions in accordance with the Employment Act 1955 and principles of natural justice.
Advise management on employee relations matters and industrial relations issues.
Prepare and maintain proper documentation for all disciplinary and grievance cases.
Liaise with the Department of Labour (JTK), Industrial Relations Department, and other relevant authorities when required.
D. HR Policy Development & Compliance
Develop, review, and update HR policies, procedures, and the Employee Handbook to ensure alignment with current Malaysian employment laws and best practices.
Ensure company-wide compliance with the Employment Act 1955 (as amended), Industrial Relations Act 1967, Occupational Safety and Health Act 1994, and other applicable legislation.
Administer and monitor leave management, attendance tracking, and working hours in accordance with statutory requirements.
Support internal audits on HR processes and recommend corrective actions where necessary.
E. Performance Management, Learning & Development, and General Administration
Coordinate the annual performance appraisal cycle, including KPI setting, mid-year reviews, and year-end evaluations.
Identify training needs and coordinate employee training and development programmes.
Manage employee benefits administration including medical insurance and other welfare-related matters.
Handle employee exit processes including resignation acceptance, exit interviews, exit clearance, and final pay computation.
Maintain accurate and up-to-date personnel files and HR records.
Carry out any other tasks assigned by management from time to time.
EDUCATION, SKILLS AND EXPERIENCE
Bachelor’s Degree in Human Resource Management, Business Administration (HR), Industrial Relations, or any related field from a recognised institution.
Minimum of 3–5 years of working experience in a generalist HR role.
Solid understanding of Malaysian employment legislation including the Employment Act 1955, Industrial Relations Act 1967, Occupational Safety and Health Act 1994, Minimum Wages Order, and related subsidiary legislation.
Hands-on experience in payroll processing and statutory submissions (EPF, SOCSO, EIS, PCB/MTD).
Experience in managing disciplinary processes, domestic inquiries, and employee grievance handling.
Proficient in HRIS and/or payroll systems.
Proficiency in Microsoft Office applications, particularly Excel and Word.
Strong written and verbal communication skills in Bahasa Malaysia and English. REQUIREMENTS

Own transport and willing to travel within Klang Valley as and when required.
