The Accounts Executive is responsible for managing the day-to-day accounting and financial administration of the Company and ensuring that all financial records are accurate, complete, properly maintained and updated on a timely basis.
The successful candidate will be expected to independently manage the Company's accounting functions, including accounts payable, accounts receivable, bookkeeping, bank reconciliation, invoicing, payment processing, payroll-related accounting, expense management, financial reporting, statutory documentation and liaison with external accountants, auditors, tax agents, banks and other relevant parties.
The Accounts Executive will also assist Management in monitoring the Company's financial position, cash flow, outstanding receivables, expenses and financial obligations.

# KEY RESPONSIBILITIES
## 1. Full Set of Accounts
The Accounts Executive shall be responsible for maintaining and managing the Company's full set of accounts, including:
* General Ledger;
* Accounts Payable;
* Accounts Receivable;
* Bank accounts;
* Cash and petty cash accounts;
* Fixed assets;
* Accruals and prepayments;
* Inter-company transactions, where applicable;
* Director's accounts;
* Employee claims and reimbursements;
* Revenue recognition;
* Expenses and cost recording; and
* Other accounting records of the Company.
Ensure that all accounting entries are properly recorded, classified and supported by the necessary documentation.

## 2. Bookkeeping and Accounting Entries
Perform daily and regular bookkeeping duties, including:
* Recording receipts and payments;
* Recording sales invoices and purchase invoices;
* Recording expenses;
* Posting accounting journal entries;
* Maintaining proper ledgers;
* Maintaining supporting schedules;
* Recording bank transactions;
* Recording credit card transactions;
* Recording employee claims;
* Maintaining petty cash records; and
* Ensuring transactions are recorded under the appropriate accounting categories.
Ensure the accounting system is kept updated and that there are no significant backlogs.

## 3. Accounts Receivable
Manage the Company's accounts receivable function, including:
* Preparing and issuing invoices to clients;
* Ensuring invoices are issued accurately and promptly;
* Maintaining records of invoices issued;
* Monitoring payment due dates;
* Maintaining an accounts receivable ageing report;
* Following up on outstanding payments;
* Sending payment reminders to clients where required;
* Reconciling client accounts;
* Recording incoming payments;
* Issuing receipts where necessary;
* Identifying overdue accounts;
* Escalating long-outstanding receivables to Management; and
* Assisting Management with collection and recovery matters.
A weekly or monthly report on outstanding receivables shall be prepared for Management.

5. Bank Reconciliation
Perform regular reconciliation of all Company bank accounts.
Responsibilities include:
Matching bank transactions against accounting records;
Identifying unrecorded receipts or payments;
Investigating discrepancies;
Recording bank charges, interest and other transactions;
Reconciling payment gateway accounts where applicable;
Reconciling credit card accounts; and
Ensuring bank balances reflected in the accounting system correspond with the Company's bank statements.
Bank reconciliations should generally be completed monthly or at such intervals as Management may require.
7. Financial Reporting
Prepare periodic financial reports for Management, which may include:
Monthly Profit and Loss Statement;
Balance Sheet;
Cash Flow Statement;
Accounts Receivable Ageing Report;
Accounts Payable Ageing Report;
Revenue report;
Expense report;
Bank balance report;
Outstanding payment report;
Budget versus actual expenditure;
Departmental or business-unit financial reports; and
Any other financial analysis requested by Management.
The Accounts Executive should be capable of identifying unusual transactions, significant variances or financial issues and bringing them to Management's attention.
8. Month-End Closing
Responsible for assisting with or conducting the Company's month-end closing process.
Duties include:
Ensuring all transactions for the month are recorded;
Completing bank reconciliations;
Recording accruals;
Recording prepayments;
Recording depreciation;
Reviewing accounts payable and receivable;
Reviewing unpaid invoices;
Reviewing expense classifications;
Reconciling balance sheet accounts;
Checking inter-company balances;
Preparing management accounts; and
Closing the accounting period.
Monthly accounts should be completed within the timeline stipulated by Management.
