Job Description

1. Event Planning & Coordination

Support preparation of event timelines, checklists, and operational documents.

Assist in coordinating with vendors, venues, and internal departments.

Track task progress and follow up on outstanding items.

2. Documentation & Admin Support

Maintain accurate records of budgets, quotations, invoices, and approvals.

Organize and update operational files (Google Drive / Notion / internal systems).

Prepare meeting notes and track action items.

3. Logistics & Inventory

Support coordination of event equipment, shipments, and inventory tracking.

Assist in packing lists, delivery schedules, and warehouse coordination.

Ensure materials are accounted for pre- and post-event.

4. On-site Event Support

Provide administrative and coordination support during live events.

Assist with registration setup, staff coordination, and operational tasks.

Support issue tracking and communication between teams.

5. Post-Event & Reporting

Assist in collecting data for post-event reports and reconciliations.

Track expenses and support petty cash documentation.

Support post-event reviews and documentation updates.
