JOB SUMMARY
The HR & Office Admin Executive will be responsible for managing end-to-end payroll processing, employee attendance tracking, full-lifecycle recruitment, and day-to-day office administrative operations. This role ensures seamless HR operations, compliance with statutory regulations, accurate payroll delivery, and an efficient workplace environment.
KEY RESPONSIBILITIES
1. End-to-End Payroll Management & Statutory Compliance
Payroll Processing: Manage and execute end-to-end monthly payroll processing accurately and on time for all employees.
Variable & Deductions Processing: Calculate and verify claims, overtime (OT), allowances, unpaid leave, bonuses, commissions, and tax/statutory deductions.
Statutory Compliance: Handle all statutory contributions and submissions (EPF, SOCSO, EIS, PCB/LHDN, and HRD Corp). Ensure compliance with local labor laws (e.g., Employment Act 1955).
EA Forms & Tax Year-End: Prepare yearly EA Forms, E-filing inputs, and manage yearly tax reconciliation.
Payroll Reporting: Generate monthly payroll summary reports, variance analysis, and reconciliation for Management and Finance.
Employee Queries: Act as the primary point of contact for employee payroll and statutory inquiries.
2. Time, Attendance & Leave Management
Attendance Tracking: Monitor daily attendance records, clock-in/out data, and shift rosters across departments.
Leave Administration: Manage leave applications (Annual, Medical, Hospitalization, Unpaid, Emergency, Maternity/Paternity) via the HR System and reconcile monthly balances.
Discrepancy Resolution: Follow up with department heads on lateness, missing punch-ins, unexcused absences, and OT verifications prior to payroll cutoff.
3. End-to-End Recruitment & Talent Acquisition
Job Posting & Sourcing: Create job descriptions and post openings on key job portals, social media platforms, and internal career channels.
Screening & Shortlisting: Filter resumes, conduct preliminary phone screens, and shortlist potential candidates for hiring managers.
Interview Coordination: Schedule and coordinate interview rounds, assessment tests, and panel discussions.
Offer & Onboarding: Issue offer letters, perform reference checks, prepare employment contracts, and conduct new-hire orientation/onboarding programs.
Offboarding: Handle resignation processes, exit interviews, clear clearance checklists, and calculate final settlement pay.
4. General Office Administration
Office Maintenance & Supplies: Oversee office facility maintenance, manage vendor contracts (cleaning, air-conditioning, stationery, pantry supplies), and ensure workplace safety and cleanliness.
Visitor & Courier Handling: Supervise front-desk operations, incoming calls, mail, courier dispatches, and guest/vendor receptions.
Asset & Inventory Control: Maintain registers for office assets (laptops, access cards, office keys, company devices).
Admin Logistics: Support company event coordination, meeting room bookings, and basic travel/stay arrangements for staff or management when required.
