Key Responsibilities
1. Training Coordination & Administration
-Assist in scheduling training programs, workshops, inductions, and refresher sessions
-Coordinate logistics: venue setup, attendance sheets, training materials, equipment, and refreshments
-Communicate training schedules and reminders to participants and department heads
-Support onboarding and induction programs for new employees
2. Documentation, Records & HRDC Claims
-Maintain accurate training records, attendance, feedback forms, and certification logs
-Prepare and compile documentation required for HRD Corp (HRDC) training claims
-Assist in submission, tracking, and follow-up of HRDC claims within stipulated timelines
-Ensure compliance with HRDC guidelines, supporting documents, and audit requirements
-Update training trackers, calendars, and claim status reports
3. Training Materials & Session Support
-Assist in preparing training materials, presentations, handouts, SOP-related content, and learning aids
-Support trainers/facilitators during training sessions (registration, materials distribution, coordination)
-Organise and upload training content to shared drives or learning platforms
4. Coordination with Departments
-Liaise with department representatives to identify training needs and nominations
-Follow up on attendance, feedback, and post-training action items
-Support TOD initiatives such as SOP rollouts, policy briefings, and capability-building programs
5. Continuous Improvement & Compliance Support
-Collect, compile, and summarise training feedback and evaluations
-Assist in basic analysis of training effectiveness and participation trends
-Support internal audits, HRDC audits, or management reviews related to training compliance
Skills & Competencies
-Strong organisational and coordination skills
-Good written and verbal communication skills
-High attention to detail, especially for documentation and claims
-Ability to manage multiple deadlines and follow-up tasks
-Professional, discreet, and service-oriented mindset
-Basic understanding of training administration and compliance requirements
Qualifications & Experience
-Diploma or Degree in Human Resources, Business Administration, Education, or related field (preferred)
-Experience in HRD Corp (HRDC) training claims and documentation is preferred
-1–2 years of experience in training administration, HR, or related support roles (an advantage)
-Fresh graduates with strong administrative and learning coordination skills may be considered
Tools & Systems
-Proficiency in MS Office / Google Workspace (Word, Excel, PowerPoint)
-Familiarity with HRD Corp e-TRiS system or similar training claim platforms is an advantage
-Experience using training trackers, shared drives, or LMS is an added benefit
