Job Description

RESPONSIBILITIES:

• Provide high level of administrative and secretarial support to Director.

• Must be able to work in a fast pace environment and maintain a high degree of confidentiality.

• Able to book flights, hotels arrangements and apply travel visa for director, whole family, and maids.

• Able to handle and renew maids’ passport, work permit, employment contract, and etc.

• Assist Director to handle house matters.

• Able to make URGENT arrangement immediately and maintain flexibility to make arrangement during weekends at all times.

• Manage Director’s personal and professional schedule and making arrangements for appointments, meetings, conferences and travel.

• Screening phone calls, enquiries, requests, meeting & greeting visitors, and etc.

• Work closely with internal departments to achieve greater operational efficiency and to facilitate effective communication to and from the Director’s desk.

• Other ad hoc duties will be added from time to time.

REQUIREMENTS:

• Candidate must possess at least a Diploma in Secretarial or equivalent.

• Preferably with 3-5 years of working experience in related field.

• Excellent verbal and written communication skills.

• Fluent in English and Chinese as we deal with Mandarin-speaking clients.

• Excellent organizing, communication, administrative, time management, multi-tasking, and interpersonal skills.

• Excellent attention to detail, with the ability to maintain a high level of accuracy, confidentiality, and integrity at all times.

• Ability to prioritize and re-prioritize.

• Ability to work under pressure, meet tight schedule and must be efficient.

• Ability to thrive in a fast-paced and sometimes high-pressure environment.

• Self-motivated with a willingness to take initiative and solve complex problems.

• Good interpersonal and networking skills and able to work independently without much guidance.

• Competent computer skills especially Excel and Words.

• Applicants must be willing to work in Solaris Mont Kiara and possess own transportation.
