Job Description

Job Summary:

We are seeking a highly organized, proactive, and resourceful Executive Assistant to support the Country Sales Manager (CSM) in day-to-day operations, project coordination, communication management, and administrative tasks. The ideal candidate should have a solid background in sales and marketing, exceptional communication skills in English, Bahasa Malaysia, and Mandarin, and the ability to work efficiently in a fast-paced environment.

Key Responsibilities:

Provide comprehensive executive support to the Country Sales Manager, including scheduling, meeting coordination, travel arrangements, and confidential correspondence.

Assist in the preparation of reports, sales presentations, and business proposals using Microsoft Word, Excel, and PowerPoint.

Support the planning and execution of sales and marketing initiatives, events, and campaigns.

Coordinate interdepartmental communications and follow-ups on key action items.

Assist in compiling sales data, generating performance dashboards, and tracking key performance indicators (KPIs).

Liaise with internal stakeholders, leaders, and external partners on behalf of the Country Sales Manager.

Maintain and organize proper documentation, records, and filing systems.

Attend meetings, take minutes, and ensure timely follow-up on action points.

Handle ad hoc projects and assignments as required.

Requirements:

Minimum 5 years of experience in a sales and marketing role, preferably in direct selling/MLM, FMCG, or related industries.

Preferably in early 30s with a mature, professional attitude and a high level of discretion.

Trilingual proficiency in English, Bahasa Malaysia, and Mandarin (spoken & written) is a must to effectively communicate with Mandarin-speaking clients.

Excellent command of Microsoft Word, Excel, and PowerPoint; familiarity with online collaboration tools is an advantage.

Strong organizational skills and attention to detail.

High level of integrity and the ability to manage confidential information.

Strong interpersonal and communication skills with the ability to interact effectively with internal and external stakeholders.

Able to work independently, take initiative, and adapt to changing priorities.

Possess a sense of urgency and the ability to meet deadlines under pressure.
