-Strong negotiation, communication, and interpersonal skills.
-Excellent organizational and project management abilities.
-Proficiency in MS Office Suite and layout planning tools (basic knowledge).
-Knowledge of licensing processes, mall operations, and event safety requirements.
-Attention to detail and the ability to multitask under tight deadlines.
-Good computer skills in Microsoft Office application.
-Good communication skills and ability to converse and write English, Chinese and Bahasa
Malaysia.
-Positive attitude, self-motivated, responsibility.
-Willingness to travel to event sites, including shopping malls and exhibition venues when
required.
-Able to work outside regular business hours when required (e.g., for setup, inspection).
-Proactive, hands-on approach with the ability to take ownership of assigned events/fairs
岗位职责
We are looking for a detail-oriented and driven Promotion Space & Fair Setup Coordinator to
manage and execute all aspects of promotion space acquisition and event setup.
The role requires proactive engagement with mall management, coordination across
departments and contractors, and ensuring compliance with all operational and legal
requirements.
The ideal candidate should possess strong communication, negotiation, and organizational
skills, with the ability to manage multiple fairs and events concurrently.
1) Promotion Space / Fairs Management:
-Identify, evaluate, and secure suitable locations in shopping malls or commercial spaces
for promotional events or fairs.
-Liaise and negotiate with mall management to obtain approval and reserve locations for
specific time periods that align with company marketing campaigns.
2) Fair Licensing & Documentation:
-Compile and submit all necessary documentation for Fair License Applications to relevant
authorities.
-Maintain organized records of all approvals, permits, contracts, and communication for
each event/fair.
3) Stakeholder Communication & Relationship Management:
-Build and maintain strong working relationships with mall and venue management to
facilitate smooth operations.
-Act as the main point of contact between internal teams, vendors, and mall
representatives during event setup and operation.
4) Promotion Fair Setup & Inspection:
-Coordinate with inter-department teams and setup contractors to finalize and execute
layout and booth setup according to plan.
-Conduct on-site setup inspections before event commencement to ensure readiness and
compliance with safety standards.
-Arrange and oversee necessary rectification work prior to opening, ensuring minimal
disruption.
5) Security & Equipment Coordination:
-Organize the installation of CCTVs at every fair, ensuring coverage and proper
functionality.
-Monitor the condition of fair furniture and event equipment; initiate refurbishment or
replacement when necessary to maintain quality standards.
6) Vendor & Contractor Management:
-Source, review, and negotiate quotations from contractors for fair setup.
-Justify contractor selections and costs with relevant departments to ensure budget
compliance.
-Ensure all vendors and contractors obtain the necessary work permits from the mall or
venue management before work begins.
7) Post-Event Coordination & Maintenance:
-Supervise fair teardown and ensure venues are returned to their original condition.
-Manage post-event feedback, assess setup outcomes, and propose improvements for
future fairs or promotional activities.
