Role Overview / 职位概述
As a Sales Admin (Automotive – GWM) at Auto Elegance, you will support the GWM sales team by handling end to end sales documentation, data entry, and coordination from booking to vehicle delivery. You will prepare and process sales documents, update systems and trackers, liaise with customers, banks, and internal departments, and help ensure every deal is accurate, compliant, and delivered on time in a fast-paced showroom environment.

作为 Auto Elegance 的销售行政专员(GWM 汽车),你将从订车到交车全程支持 GWM 销售团队的行政与文书工作。你将负责准备和处理各类销售文件、更新系统与报表、协调客户、银行及内部部门,确保每一宗交易在快节奏展厅环境中都能准确、合规并按时完成。

Key Responsibilities / 主要职责
1. Sales Documentation & Processing / 销售文件与流程处理
Prepare and process all sales related documents, including booking forms, order forms, invoices, receipts, and delivery orders.
准备并处理所有与销售相关的文件,包括订车单、订单、发票、收据及交车单等。

Ensure all required customer documents (IC, driving licence, bank loan approval, trade in documents, etc.) are complete and properly filed.
确保客户资料及文件(身份证、驾照、银行批函、旧车置换文件等)齐全并妥善归档。

Coordinate loan documentation with banks/finance companies and follow up on approvals and disbursement status.
与银行或金融机构对接贷款文件,并跟进批核进度及放款状态。

Prepare vehicle registration and road tax documents; liaise with runners/agents for JPJ and insurance matters where required.
准备车辆注册及路税文件,并在需要时与跑腿/代理协调 JPJ 及保险相关事项。

2. Sales Coordination & Customer Support / 销售协调与客户支持
Work closely with Sales Advisors to track the status of each deal, from booking to delivery.
与销售顾问密切合作,跟进每一宗交易从订车到交车的进度。

Liaise with customers on documentation, payment status, and delivery scheduling when needed.
在需要时与客户沟通文件、付款进度及交车安排。

Assist in preparing handover packs (ownership documents, warranty booklets, manuals) for vehicle delivery.
协助准备交车资料包(车主文件、保修手册、说明书等),确保交车流程顺畅。

Support the sales team in arranging test drive bookings and internal coordination.
协助销售团队安排试驾预约及内部协调工作。

3. Data Entry, Records & Reporting / 数据录入、记录与报表
Maintain accurate and up to date entries in the sales system / CRM (customer data, vehicle details, deal status).
在销售系统 / CRM 中准确录入及更新客户资料、车辆信息及交易状态。

Update and maintain sales trackers, stock lists, and delivery schedules.
更新并维护销售追踪表、库存清单及交车时间表。

Generate basic daily / weekly / monthly sales and pipeline reports for the Sales Manager and management.
为销售经理及管理层准备基础的每日 / 每周 / 每月销售及销售管道报表。

Ensure all physical and digital files are properly organised and stored.
确保所有纸质及电子文件均妥善整理及存档,方便查阅。

4. Inventory & Internal Coordination / 库存及内部协调
Assist in updating vehicle stock records, unit status (available, reserved, sold, delivered), and internal allocations.
协助更新车辆库存记录、车辆状态(可售、已预定、已售、已交付)及内部分配情况。

Coordinate with Accounts/Finance on payments received, refunds, and outstanding balances.
与财务/会计部门协调,核对收款、退款及未结余额情况。

Liaise with After Sales / Service teams on pre-delivery inspection (PDI), accessories installation, and delivery readiness.
与售后/服务团队协调车辆交付前检查(PDI)、加装配件及交车准备工作。

5. General Admin & Compliance / 综合行政与合规
Ensure all sales administrative processes follow company SOPs and basic compliance requirements.
确保所有销售行政流程符合公司标准作业流程(SOP)及基本合规要求。

Assist in preparing documents for audits, internal checks, and principal reporting when required.
按需要协助准备审计、内部稽核及厂方报告所需文件。

Provide general administrative support to the Sales Manager and showroom team.
为销售经理及展厅团队提供一般行政支持。

Requirements / 任职要求
Minimum 1 - 3 years of working experience in administration, sales coordination, or related roles; automotive dealership experience is an advantage.
至少 1 - 3 年 行政、销售协调或相关岗位工作经验;具汽车经销商经验者优先。

Familiarity with basic sales documents (invoices, receipts, delivery orders, loan offer letters, registration forms) is preferred.
熟悉基础销售文件者优先,例如发票、收据、交货单、贷款批函及注册表格等。

Strong interest in cars and EV technology, with a willingness to continuously learn about GWM products and the wider automotive market.
对汽车及电动车有浓厚兴趣,并愿意持续学习 GWM 产品及更广泛的汽车市场知识。

Strong attention to detail and high accuracy in data entry and documentation.
注重细节,数据录入及文件处理准确度高。

Good communication and interpersonal skills; able to work well with sales, finance, and external partners.
具备良好的沟通与人际交往能力,能与销售、财务及外部合作方良好协作。

Proficiency in Mandarin to communicate with Mandarin-speaking customers; English and Bahasa Malaysia are an advantage.
具备良好的**中文(普通话)**沟通能力,以服务华语客户;懂英文及马来文者为加分项。

Able to work in a target-driven showroom environment and meet deadlines.
能适应以目标为导向的展厅环境,并按时完成工作任务。
