Candidate must possess at least a SPM / 'O' level, Higher Secondary/ STPM / 'A Level / Pre-U, Diploma, Advanced / Higher / Graduate Diploma, any field
Proficiency in English
Computer skills – using appropriate computer skills and knowledge, ranging from data entry to systems analysis, to achieve work goals.
Team Skills – being able to work collaboratively with others in a participative management environment; working independently as well as working on a team.
Excellent knowledge of MS Office
Full comprehension of office management systems and procedures
Trustworthy and discreet with confidential information
Responsibilities

Document Compilation & Invoice Issuance:

Compile and organize all relevant documents, including receipts, invoices, claims, and financial records.
Maintain a well-structured and up-to-date filing system (both digital and physical) for quick reference and retrieval.
Categorize documents by type and date to support efficient auditing, tracking, and reporting.
Ensure accuracy and completeness of all documentation prior to processing or submission.


Payment Management:

Prepare a monthly company-wide payment summary, factoring in fixed expenses (e.g. rental, subscriptions), payroll, staff claims, tax obligations, and ad-hoc payments.
Maintain a payment calendar to monitor due dates and ensure timely disbursements.
Liaise with accounting or finance team (if applicable) to cross-verify outgoing payments.


Payment Form Creation:

Prepare structured payment authorization forms for management review and director sign-off.
Ensure all supporting documents are properly attached for each payment request.
Track approval timelines and align form submission with the company’s monthly payment schedule.


General Administrative Support:

Coordinate calendars, meetings, appointments, and internal team communication.
Act as a liaison between executives and internal/external stakeholders.
Support HR admin tasks such as onboarding, attendance tracking, leave monitoring, and employee record keeping.
Answer calls, handle correspondence, and route messages appropriately.
Maintain meeting minutes, take dictation when needed, and ensure accurate data entry.
Monitor and manage office and retail supply inventory; compile stock take reports.
Assist in the preparation of presentations, reports, briefs, and internal documentation.
Develop and maintain efficient office systems, including digital filing and process tracking.
Prioritize tasks effectively and manage time to meet recurring deadlines.
