Job Description

Requirements
-We are seeking a detail-oriented and proactive Operations Admin to support our day-to-day operational activities.
-This role focuses heavily on paperwork, documentation, coordination, and reporting, ensuring smooth workflow across sales, logistics, warehouse, finance, and marketing teams.
-The ideal candidate is organised, responsive, and able to manage multiple tasks with accuracy.

Responsibilities

1. Order & Documentation Management
-Process and manage sales orders, quotations, and invoices.
-Ensure all documents are accurate, updated, and properly filed (digital & physical).
-Maintain customer, product, and order data in ERP/CRM systems.
-Coordinate with logistics, warehouse, and finance teams to ensure timely fulfilment.

2. Operations Coordination
-Serve as a liaison between internal teams to support daily operational needs.
-Monitor inventory levels and update relevant teams on low-stock or incoming shipments.
-Track order status and follow up to ensure operational tasks are completed on time.

3. Customer & Retailer Support
-Handle enquiries from retailers and sales representatives regarding order status, product availability, or documentation.
-Assist in preparing product sheets, briefings, and operational information for clients.
-Support after-sales follow-ups and general customer coordination.

4. Reporting & Data Management
-Prepare daily, weekly, and monthly operational reports.
-Track performance by product, region, or customer as required.
-Ensure data accuracy and maintain updated reporting files.

5. Marketing & Campaign Administrative Support
-Coordinate operational requirements for campaign launches with the marketing team.
-Assist in preparing sales materials, distribution lists, and campaign documentation.

6. General Administrative Support
-Maintain organised filing systems and documentation archives.
-Handle ad-hoc administrative and operational tasks assigned by the Operations or Sales Manager.
-Support day-to-day office operations to ensure workflow efficiency.
