Job Description

This role provides end-to-end administrative, operational, and language support to the Managing Director while ensuring smooth office and factory operations. The position acts as a key liaison between top management, government bodies, external service providers, and the production workforce, supporting both strategic and day-to-day operational needs.

Key Responsibilities

1. Executive & Personal Assistant Support

Provide comprehensive PA and administrative support to the Managing Director

Manage schedules, meetings, travel arrangements, and business correspondence

Prepare reports, presentations, and official documents

Act as gatekeeper and liaison between MD and internal/external stakeholders

2. Office Administration & General Affairs

Oversee day-to-day office operations, facilities, supplies, and vendors

Coordinate with government agencies on licensing, permits, and compliance

Liaise with accountants, auditors, company secretary, payroll and HR service providers

Maintain proper documentation, filing systems, and regulatory records

3. Factory Operations Coordination

Support daily factory operations (approx. 10–50 employees)

Coordinate communication between management and production team

Monitor attendance, workflow coordination, and escalate operational issues

Work closely with line leaders to ensure execution of management directives

4. Translation & Bilingual Communication

Translate documents and verbal communication: Mandarin ↔ English, Mandarin ↔ Bahasa Malaysia (basic operational level)

Facilitate effective communication between Chinese-speaking MD and local workforce

Support meetings, briefings, and production-related discussions
