Duties & Responsibilities:

Provide comprehensive and confidential executive and administrative support to the Chief Executive Officer (CEO) to ensure the smooth and efficient management of daily operations.

Manage and maintain the CEO’s calendar, including scheduling appointments, meetings, business engagements, annual leave planning, as well as coordinating travel and accommodation arrangements. This includes arranging lunch and dinner reservations when required.

Effectively support the CEO by screening, compiling, proofreading, and reviewing incoming calls, emails, reports, and other documents, ensuring timely responses, approvals, and follow-up actions.

Organize internal and external meetings, prepare meeting materials, coordinate logistics, record meeting minutes, and follow up on action items. Provide general assistance during presentations and business discussions when required.

Respond to queries from Board Members, stakeholders, and external parties in a timely, professional, and discreet manner, both verbally and in writing.

Act as a key liaison between the CEO and Heads of Departments (HODs), Internal staff, Board Members, business associates, and other relevant stakeholders to ensure effective communication and coordination.

Plan, organize, and manage the CEO’s driver schedule to ensure smooth daily transportation arrangements and efficient time management, including monitoring the driver’s daily responsibilities and ensuring proper vehicle maintenance, servicing schedules, cleanliness, and road tax/insurance renewals are up to date.

Oversee and monitor the daily duties of the Tea Lady to ensure cleanliness, pantry management, timely beverage service, and proper support for the CEO’s office, meeting rooms, and visiting guests.

Perform any other duties and responsibilities as assigned by the CEO from time to time.



Job Requirements:

Candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma, Bachelor’s Degree, Post Graduate Diploma, Professional Degree, or Master’s Degree in any field.

At Least of Five (5) years of working experience in a related field is required for this position, preferably in executive support or personal assistant roles.

Possess strong self-motivation, result-oriented mindset, problem-solving abilities, confidence, positive personality, and good business acumen.

Demonstrate a high degree of accuracy, resourcefulness, strong attention to detail, and excellent work ethics.

Able to work independently with minimal supervision and interact professionally with all levels of employees across various departments within the company.

Handle sensitive and confidential information with the highest level of professionalism, discretion, and integrity.
